EMS Process & Timeline

How a Case Reaches Your Firm

The full cycle, from the day a crash report is ordered to the day a signed, packaged case arrives at your intake desk.

Before Case Delivery Begins

Campaign Setup: Approximately 14-21 Days

The setup window begins after campaign approval and receipt of the required firm materials. Timing may vary based on state requirements, configuration complexity, and third-party vendor turnaround.

01

States and Territories

Confirm the states, markets, and geographic boundaries where the campaign will operate, including any state-specific privacy or advertising requirements.

02

Campaign Criteria

Select the delivery model, vehicle and injury categories, hospital-transport requirements, insurance standards, and case acceptance rules.

03

Compliance Configuration

Align firm identification, disclosures, consent records, state privacy controls, bar advertising requirements, and joint advertising documentation.

04

Intake and Handoff

Finalize screening questions, live-transfer procedures, office availability, escalation contacts, and the process for attorney review and acceptance.

05

Documents and Delivery

Configure the firm's engagement agreement, HIPAA authorization and related forms, delivery email, CRM connection if requested, and transfer numbers.

06

Testing and Activation

Test document routing, transfers, reporting access, and the complete handoff before the campaign is activated for the approved states and criteria.

The Delivery Journey

Six Controlled Stages

The program begins with a report, not a claimant. We identify the injured party from the report, conduct compliant outreach, and begin intake only after the person contacts us and consents.

Stage 1
2-3 weeks, sometimes longer
Report Acquisition

Police and EMS reports are retrieved through a law-enforcement-owned records agency. The agency's fulfillment queue sets the pace for this stage.

Stage 2
1-2 business days
Report Review and Case Build

Involved-party identity, injury indicators, and liability facts are extracted. Commercial-vehicle involvement is flagged with carrier and USDOT details.

Stage 3
Days to several weeks
Outreach and Victim Response

Compliant outreach is conducted by live agents. The injured person contacts us and consents before intake begins. Not every person responds.

Stage 4
1-2 business days
Intake and Merit Screening

Accident facts are confirmed against the report, representation status is verified, and the case is screened against your firm's acceptance criteria.

Stage 5
3-5 business days
Outreach and Victim Response

Medical authorization, supporting records and photographs, insurance information, and packet quality review are completed before your engagement agreement is prepared.

Stage 6
1-5 business days
Signature and Delivery

The agreement is sent for e-signature. Once the claimant executes it, the complete, packaged case file is delivered to your firm.

Typical Total Cycle

Approximately Five to Seven Weeks

That is the expected time from report order to delivery of a signed, packaged case. The sequence protects consent, documentation, and defensibility rather than rushing the front end.

The Records Queue Sets the Pace

Reports come from a law-enforcement-owned records agency. Its fulfillment schedule governs the first two to three weeks and cannot be accelerated by our team.

The Injured Party Sets the Timing

We do not solicit crash victims. Representation must be raised by the consumer on their own schedule, so response timing cannot be predicted for an individual record.

Live Agents Make First Contact

Outreach is handled by live agents rather than automation. Daily capacity is controlled, and contact attempts are appropriately limited and spaced.

Consent Comes Before Records

No medical records are requested until the claimant has signed the required authorization, followed by the third-party custodian's turnaround time.

Your First Month

What to Expect as the Pipeline Builds

The first cycle starts every stage from zero. Once the pipeline fills, active cases move through different stages at the same time.

The First Cases Are the Slowest

At launch, the entire pipeline fills at once. Every stage must run end to end before the first completed case arrives. Afterward, the stages overlap and delivery becomes continuous.

Quiet Weeks Are Working Weeks

Report acquisition and live-agent outreach create real activity at the front of the pipeline, even when a case has not yet reached your intake team.

Volume Builds Over Time

The program ramps across the first several weeks as reports, responses, qualification, records, and signatures begin moving in parallel.

You Have Visibility Throughout

Portal access shows report intake, qualification status, contact attempts, and dispositions in real time. Written updates are provided weekly until volume is steady.
